We are a full service digital marketing agency and are looking for an executive assistant.
Hours: 40H/Week
Schedule: US eastern time. +6hours Albania time, the clients are based in the US and role requires flexibility to work around their schedule if necessary.
Environment: Startup, WFH(Work from Home) + Hybrid.
Pays up-to 1500 euros, based on experience.
Responsibilities include:
- Manage the calendar, schedules appointments, and coordinate meetings, ensuring all necessary resources are prepared in advance.
- Understand priority meetings.
- Bid on projects on behalf of company on various online platforms
- Organize face-to-face, virtual, and hybrid meetings.
- Be aware of meeting locations and travel time.
- Include pre-reads and proper meeting materials in the invites.
- Assist in the preparation and coordination of materials for the department meetings, and other company events.
- Facilitate leadership team meetings; ensure timely distribution of agenda; take meeting notes; track action items.
- Prepare reports, presentations, and other documents as requested by the leadership team.
- Arrange travel, and complete expense reports in a timely manner.
- Manage specialty documents and correspondence with necessary confidentiality, including letters, reports, emails, presentations, memos, etc.
- Review documents and proofreads work for grammar and spelling, accuracy, consistency of terms, and completeness; ensure document text and graphics adhere to corporate and organization guidelines and standards.
- Travel abroad as requested
Requirements:
- Fluent in English, able to listen, understand, explain and hold a conversion.
- Strong PC literacy with advanced skills in Microsoft Outlook, Word, Excel, or PowerPoint.
- Excellent verbal and written communication skills.
- Minimal travel is required for the work.
- Languages other than English also a plus
